Transfer and Cancellation Policy

We take our commitment to support the cause and our beneficiaries seriously, and to that end, we work hard to support every Climate Ride participant to be successful fundraisers for these life-changing events. When you register for a Climate Ride event, we hold a spot for you on that event and begin preparing the logistics for your participation. In the event that you cancel that spot, Climate Ride and its grants program are at a loss.

Cancellation Policy

The registration fee and any donations you have received are not refundable, and not transferable to another participant. Any participant who cancels their registration before the Transfer Deadline (3-weeks prior to the event) may transfer their fundraising to a future event within the same calendar year or in the next calendar year (see Transfer Policy). Any participant who cancels their registration after the Transfer Deadline is ineligible for transfer, and partially raised funds are applied to cover costs that were incurred on their behalf having expected and planned for their participation and cannot be dispersed to selected beneficiaries. (Exception: if a participant has fulfilled the required fundraising commitment, they may choose to have their funds dispersed through the Climate Ride Grants Program that year).

Transfer Policy

For both ride and hike events, participants who cancel their registration within 3 weeks of the start date of the event are NOT eligible for a transfer.

If you do not attend the event that you registered for, you may request to transfer your fundraising to a future event. Participants may transfer to another event within the same calendar year, or to an event in the next calendar year.

Transferring to an event within the same year. There is no fee for transferring to an event within the same calendar year, and participants do not have to pay the registration fee for the event they are transferring to. You cannot transfer into an event within 3 weeks of its start date, unless given special permission from Climate Ride.

To complete a same-year transfer:

  • The participant must notify Climate Ride and receive written confirmation that they will be transferring
  • The participant must register for the new event. A Climate Ride staff member will provide you with a code to use during registration to cancel the registration fee
  • Once registered, Climate Ride will transfer the donations to the new event

Transferring to an event in the following year. The deadline to complete a transfer to an event in the following calendar year is December 1st of the year of the event the participant was originally registered for. The cost of transferring is $50. The participant is also responsible for paying the registration fee for the event to which they are transferring in the new calendar year. They are required to fundraise to meet or surpass the new event's fundraising minimum.

To complete a next-year transfer:

  • The participant must notify Climate Ride and receive written confirmation that they will be transferring
  • The participant must pay the transfer fee, registration fee, and register for the new event
  • Once registered, Climate Ride will transfer donations to the new event
